Essential Duties and Responsibilities 

• Assists the Senior Night Monitor and program staff in maintaining decorum by patrolling and monitoring student lounges, hallways, lobby, stairwells and hotel environs as required.
• Performs nightly student room checks.
• Monitors student adherence to Close Up rules and policies.
• Reports any problems, concerns and/or emergencies immediately to the Senior Night Monitor.
• Submits an accurate timesheet online biweekly.
• Arrives promptly at hotel with correct uniform and ID badge.
• May include other duties as assigned by Program Services Manager.

Position Overview │ The Fundraising Development Manager is critical to developing Close Up’s capacity to secure support that sustains the organization and expands its long-term impact. The person in this role will report to the Chief External Affairs Officer and collaborate with Close Up leadership. Responsibilities

• Cultivate new donations from individuals, foundations, grantors, and corporations.
• Manage the grant calendar and develop letters, pitches, proposals, and reports for funders.
• Work with leadership to develop donor and prospect cultivation and solicitation, and implement a fundraising strategy.
• Manage development staff and workflow to ensure timely submission of proposals, reports, and other funder-related deliverables.

Position Overview | The Coaching and Training Specialist works as a member of the Coaching and Training team within the Curriculum department. This is a key position that requires working both in office and in-field settings, the ability to accurately and effectively articulate Close Up’s pedagogy and educational mission to a variety of external and internal constituencies, and the capacity to continuously maintain a high level of educational expertise to contribute to various projects undertaken by Close Up. The Coaching and Training Specialist team primarily supports Close Up’s DC based programming with middle and high school students through the coaching and training of over 50 program instructors. This position reports to the Manager of Coaching and Training.

In cooperation with other members of the team, the Coaching and Training Specialist has the following responsibilities:

Training Design and Facilitation

• Design initial instructional training for 40-50 Program Instructors; training components include methodology, program curriculum, and facilitating controversial issue discussions
• Create and facilitate all training sessions for Program Instructors
• Develop trainings for specialized programs
• Plan and deliver professional development sessions throughout the program season to supplement initial training
• Program Instructor Coaching and Observation
• Provide ongoing in-field formal observation and informal coaching for a cohort of instructional staff
• Work with curriculum staff to ensure continued growth of program instructors
• Collaborate with the coaching and training team to identify trends among instructional staff
• Other Responsibilities
• Deliver Close Up programs, including DC based student programs, virtual student programs, and professional development
• Keep abreast of best practices in coaching, training, and adult education

Required Qualifications

• Bachelor’s degree from a four-year college or university; major in education, history, political science, international relations, or related field preferred
• At least one year of experience training adult learners or leading group facilitation

Working environment

• Frequent evening and weekend work required for DC-based program execution, observation and evaluation during the program season (January-June), occasional weekend and evening work September-December.
• This position is based at the Close Up office in Alexandria, VA, but includes frequent time in DC on student program.
• Some travel outside DC metro area.

Summary | Close Up is seeking a responsible, organized and customer service-oriented individual to perform a variety of administrative and clerical tasks to support our transportation operation.  The position will assist in problem solving logistical issues during our weekly operation.  Duties will involve finalizing travel plans for our participants, preparing reports and maintaining appropriate filing and data entry along with offering customer service support for our weekend operation as the on-call weekend Manager on Duty (MOD). The ideal candidate should have excellent oral and written communication skills and be able to organize their work using all Microsoft 365 applications and office equipment.

Hours | Monday through Friday: 10:00AM-6:00PM.

Weekend MOD:

• Two weekends, per month (would be in lieu of two days of work during the week), Saturday and Sunday on-call MOD January-June

• Proven experience as an office administrator, office assistant or relevant role.

Position Overview | The Curriculum Design Specialist is responsible for creating and updating curriculum and resources for Close Up’s place-based experiential civic education programs. This position joins the Curriculum Design and Program Development Team, which is responsible for the development, planning and execution of most of Close Up’s new or specialized place-based programming (especially programs based outside of DC). It requires working both in office and in-field settings, the ability to accurately and effectively articulate Close Up’s pedagogy and educational mission, and the capacity to continuously maintain a high level of educational expertise to contribute to various projects undertaken by Close Up. The position reports to the Manager of Curriculum Design and Program Development.

The Curriculum Design Specialist is responsible for:

Curriculum Development

• Develop, revise, and update the curriculum, lesson plans and associated resources and materials for all Close Up place-based programs.
• Collaborate on the execution of new and/or travel Close Up programming.
• Observe program to evaluate curriculum.

Other Responsibilities

• Work on DC and travel programs as an instructor, program leader, or curriculum specialist as needed. New hires will be trained to take on these roles to support student program.
• Keep abreast of educational and public policy trends in Civic Education as well as Close Up’s internal policies and procedures.

Required Qualifications

• Bachelor’s degree from a four-year college or university; major in education, curriculum development, or related field preferred. Master’s degree in related field a plus.
• One to three years’ experience working in the education field.
• Ability to successfully deliver curriculum to middle and high school students.

SUMMARY | The Accounts Payable Specialist will be responsible for coordinating various accounts payable functions including, but not limited to: data entry, customer inquiries, and vendor maintenance. Candidate must have excellent customer service skills, high level of detail and accuracy.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

• Responsible for reviewing all invoices (and expense reports) for appropriate documentation, coding and approval prior to processing in the Great Plains financial system
• Work as first point of contact for our online invoice processing system (SearchExpress) and respond to inquiries within 1 business day
• As coordinator of the online invoice system, confirm accuracy of vendor coding for all invoices and process approved invoices in a timely manner within SearchExpress.
• Monitor employee American Express accounts to confirm statements have been coded and approved
• Process weekly check runs
• Understand and maintain the chart of accounts and vendor database.
• Maintain vendor payment files and serve as point of contact for all vendor inquires which also includes keeping the most up to date SAMS records on file.
• Actively participate in the month end close process and complete assigned account reconciliation by the 25^thof each month for the following:
  • Accounts Payable
  • CEO expense analysis
  • Employee Advances
  • Debit Cards
• Handle electronic transfers to debit cards as requested.
• Make ACH payments for flight deposits via telephone to Southwest
• Monitor outstanding checks for yearly unclaimed property submission.  Complete Unclaimed Property report and obtain approval to submit to the State of Virginia no later than October 15^th
• Submit American Express corporate card payment requests, on Tuesday and Thursday of each week as needed, based on corporate card balance to insure credit availability as needed by key staff.  In addition, contact staff weekly to learn of significant upcoming Amex purchases.
• Collect W-9’s for all new vendors. At year end, prepare 1099 Miscellaneous for tax purposes.
• Provide assistance with other general ledger duties and reconciliations as needed.
• Assist with year-end close and audit.
• Assist with other projects as needed.

MINIMUM QUALIFICATIONS | Bachelor’s degree from a four-year college or university with two or more years of experience in accounts payable or related field or 5+ years of experience in accounting.

• Must have excellent written, communication, and organizational skills.
• Great Plains experience a must.
• SearchExpress experience a plus.
• Unclaimed Property experiu
• Advanced computer and Microsoft 365 skills a plus.
• Passion for Close Up’s mission and civic education.

SUMMARY | As a member of the Finance team, you will be responsible for areas relating to financial reporting in addition to developing and maintaining accounting principles, practices and procedures to ensure accurate and timely financial statements. This position specifically performs a variety of accounting duties, with a focus on general accounting, grants accounting, account reconciliations, and compliance reporting.

These services may include, but are not limited to, any of the following essential duties listed below.

ESSENTIAL DUTIES AND RESPONSIBILITIES
General Accounting

• Assist with the accounting function which includes inter-company transactions, cash management/reconciliation for multiple accounts, financial reporting and balance sheet management.
• Assist with the month-end and year-end close procedures.
• Daily remote deposits of all internal checks.
• Track and Invoice Fixed Priced programs.

• Assist in the preparation of the company’s budget; reports to management on variances from the established budget, and the reasons for those variances.
• Development of cash flow forecast.
• Work on other general ledger duties and special projects as assigned.

Compliance Reporting

• Assist with preparation of audit and Form 990 schedules and selections.
• Organize, prepare and file Charitable Solicitation application for all states.
• Conduct Monthly Temp/Perm Restricted processing.
• Identifies inefficiencies and improves systems by studying current Finance practices and internal controls.

Grant Accounting

• Record all contracts and restricted grants awarded.
• Manage preparation of monthly/quarterly grant report and supporting schedules.
• Monitor government grants and reporting; in addition to compliance in the Uniform Act.
• Ensure all timesheet hours charged are in accordance with the approved allocation and budget.
• Interact with Development department to ensure all contacts are restricted grant activities are properly recorded and performing as expected,
• Provide support to the Development department during the proposal process.

Position requires a basic working knowledge of accounting, business, and office practices and procedures.

Knowledge of Great Plains accounting software is a must; budgeting and forecasting, a plus.

Must be able to work independently and with diverse group of people, must be well organized and demonstrate attention to detail. Ability to plan and manage projects; collaborate across different business units, and provide updates to the management team, when applicable.

Strong ability to meet deadlines; intermediate to advanced Excel skills.

Language Skills

Ability to read, analyze, and interpret common technical journals, financial reports, and legal documents.  Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.  Ability to effectively present information to manager.

Mathematical Skills

Ability to apply advanced mathematical concepts.   Ability to apply mathematical operations to such tasks as frequency distribution, determination of test reliability and validity, analysis of variance, correlation techniques, sampling theory, and factor analysis.

Reasoning Ability

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

• Provide courteous, high quality service to customers and interdepartmental staff
• Provide information to and resolve the majority of incoming inquires through in-depth knowledge of the Foundation, its services, programs, website and proprietary database
• Partner with Outreach teams to support current accounts before participation;
• Act as a Liaison with other departments concerning extra-ordinary participant requests/needs related to execution of program
• Partner with Teacher Program Team to thank our Teacher Coordinators during and after program participation
• Regularly and respond promptly to monitor department inbox and personal/team correspondence
• Track the customer experience for clients from beginning to end and help compile data to improve their experience in future years

QUALIFICATIONS

1. College degree or 4 years’ related experience and/or training; or equivalent combination of education and experience in customer service
2. Strong written and verbal communication skills
3. Must be proficient in MS Outlook and MS Office (intermediate skill level in Excel and Word a plus)
4. Must be professional, be able to work independently and with diversity
5. Must be well organized, demonstrate attention to detail and ability to manage conflicting priorities
6. Must possess technical writing skills
